Booking & registration

8 answers
How do I start the booking process for a Birdpacker tour?

Start by filling out the Tour Inquiry Form on our website with your target species and logistical preferences. Our team will assess field feasibility and email a draft itinerary and quotation within 24–48 hours.

When are my tour dates officially locked?

Your itinerary and tour dates are locked and guaranteed once we receive a deposit equal to 30% of your total tour cost.

What is the deadline for paying the deposit after receiving the invoice?

You have 7 working days from the invoice date to complete the deposit transfer. If payment is not received within that timeframe, your requested dates may be released to other clients.

When is the final balance due?

The remaining 70% must be paid in full at least 45 days before departure. For last-minute bookings made less than 45 days before the trip, full payment is required at the time of booking.

What payment methods do you accept?

We accept international wire transfers in US Dollars (USD). All intermediary bank fees and currency exchange differences are the sender’s responsibility, so Birdpacker receives the exact net amount stated on the invoice.

Is the deposit refundable if I cancel my trip?

No. The 30% deposit is strictly non-refundable because it is used immediately to secure limited logistics in remote areas, including domestic flights, car rentals, and village accommodation.

Can I reschedule my tour dates after paying the deposit?

Rescheduling depends on the availability of our guide team and local vendors for the new dates. It may involve price adjustments or additional administrative fees. Contact our team as soon as a scheduling issue appears.

Do I need to arrange travel insurance before registering?

Yes. Every client must have comprehensive international travel insurance before departure, including cover for emergency medical evacuation and trip cancellation.

Tour confirmation & availability

7 answers
How far in advance should I book my tour?

We recommend booking 6 to 12 months in advance. Expert guides and remote accommodation—especially during the peak birding season from July to October—fill quickly.

What is the maximum group size for your tours?

We limit each Tour Leader’s group to a maximum of 4 to 6 participants to protect the quality of the birding experience, minimise habitat disturbance, and provide personal attention in the field.

Is there a minimum number of participants required for a tour to run?

Most standard scheduled tours require at least 2 participants. Solo travellers are welcome to request a private, tailor-made tour.

How do I know if my tour is officially confirmed?

Submitting an inquiry does not confirm a tour. Your tour and dates are confirmed only after we receive the 30% deposit and send a formal Booking Confirmation & Official Receipt by email.

What happens if my preferred dates are already fully booked?

We will tell you promptly and suggest the closest available dates. We can also place you on a priority waitlist in case of a cancellation.

What kind of birders usually join your tours?

Our clients include general nature enthusiasts, dedicated listers, and professional wildlife photographers. All experience levels are welcome, with Photography, Birding, and Expedition styles to match different goals and field pace.

Can my non-birding partner or spouse join the tour?

Yes, non-birding partners are welcome as long as they understand that the itinerary is focused exclusively on birding. Days start early and can involve long hours in the field; separate leisure activities are not provided.

03

Physical requirements & pace

4 answers
How physically demanding are the tours?

Photography tours generally use a relaxed pace with minimal heavy trekking. Birding tours involve moderate walks on uneven or muddy forest trails. Expedition tours are the most demanding, with long hours, steep terrain, and remote habitats.

What is a typical daily schedule like?

Days often begin before dawn, around 4:30 or 5:00 AM, to catch peak morning activity. We spend the morning in the field, rest during the hottest part of the day, then return for afternoon birding. Optional night walks for owls are also frequently offered.

Do I need to carry my own equipment?

You are responsible for carrying your daypack, binoculars, and camera equipment during walks. Our local team or porters handle your main luggage during transfers between accommodation and airports.

Can you accommodate participants with mobility issues?

Standard scheduled tours may not suit severe mobility limitations because many target species live in deep, unpaved forest. Contact us about a slower custom itinerary using accessible locations, bird hides, and roadside birding.

04

Tour price & inclusions

5 answers
What is typically included in the tour price?

Prices generally include accommodation, breakfast, lunch and dinner, bottled drinking water, land transport including specialised 4WD vehicles when needed, domestic flights when stated in the itinerary, national park entrance fees, conservation permits, and full-time Tour Leader and local spotter services.

What is not included in the tour price?

International flights, mandatory travel insurance, visa and passport fees, alcoholic drinks, laundry, excess baggage, personal souvenirs, and gratuities for guides, spotters, and drivers are not included.

What is a single supplement fee?

Standard prices are based on double occupancy. A single supplement is added if you travel alone or prefer a private room throughout the expedition.

In what currency are your tour prices quoted?

Quotations and invoices for international clients are issued in US Dollars (USD), and payment is expected in USD by international wire transfer.

Are gratuities included in the price, and are they mandatory?

Gratuities are not included and are never mandatory. Tipping is entirely voluntary, but it is a meaningful way to recognise exceptional service and directly support the local community.

05

Payments, deposits & cancellations

2 answers
What is your cancellation policy if I need to cancel my trip?

Cancellations must be submitted in writing by email. 60 days or more before departure means loss of the 30% deposit; 59 to 30 days means a 50% penalty of the total tour cost; less than 30 days or a no-show means a 100% penalty with no refund.

What happens if Birdpacker has to cancel the tour?

If we cancel before departure for internal operational reasons, you will receive a full refund of payments made to us or the option to reschedule. We are not liable for external costs such as international flights, visas, or insurance premiums.

06

Travel prep: flights, insurance & visas

5 answers
Do I need to book my own international flights?

Yes. You are responsible for international flights to and from Indonesia. We will advise on the best arrival and departure airports and times for your itinerary. Wait for the official Booking Confirmation before purchasing tickets.

Are domestic flights within Indonesia included in the tour?

It depends on your itinerary. When flights between islands or regions are required, they are usually included and arranged by our team. The exact treatment will be stated in the Inclusions section of your quotation.

Is travel insurance mandatory for this trip?

Yes. Comprehensive international travel insurance is mandatory and must cover emergency medical evacuation, hospital care, trip cancellation, and loss or damage to personal equipment. Proof is required before departure.

Do I need a visa to enter Indonesia?

Most international visitors need a visa. Many nationalities can use a 30-day Visa on Arrival or electronic Visa on Arrival, but rules change. Check the Indonesian Embassy or official Indonesian Immigration website for current requirements for your passport.

Are there any specific vaccinations required?

There may be no mandatory vaccinations for entry, but consult your doctor or a travel clinic. For remote areas, malaria prophylaxis and routine vaccines such as Tetanus, Typhoid, and Hepatitis A are strongly recommended.
